Terms and Conditions (T&Cs) & House Rules
City Hotel – Version: October 2026
1. Conclusion of Contract
The accommodation contract is concluded as soon as the room has been booked and confirmed by the hotel or, if a confirmation was not possible due to time constraints, has been made available to the guest.
2. Fulfillment of Contract
The conclusion of the accommodation contract obliges both parties to fulfill the contract, regardless of the duration for which it was concluded.
3. Non-Availability of Accommodation by the Hotel
If the hotel cannot provide a confirmed room, it will endeavour to arrange accommodation of at least equivalent quality. The guest’s statutory rights remain unaffected. The hotel may decline a future booking for an objective reason, particularly after serious previous incidents.
4. Payment Obligation in Case of Non-Arrival
If the guest does not make use of the contractual services, the guest remains obligated to pay the agreed price, less the expenses saved by the hotel.
Standard deductions are 10% of the accommodation rate for room-only bookings and 20% for bookings including breakfast.
5. Cancellation Policy
a) Individual Bookings (up to 2 rooms) Free cancellation is possible up to 2 days before the arrival date. In the event of a later cancellation or no-show, 90% of the agreed total price will be charged (80% for bookings including breakfast).
b) Group Bookings (3 rooms or more) Free cancellation is possible up to 14 days before the arrival date. In the event of a later cancellation or reduction of the room allotment, 90% of the agreed total price will be charged (80% for bookings including breakfast).
c) Early departure: If the guest leaves before the agreed departure date for reasons for which the hotel is not responsible, we charge the full agreed price for the booked stay. Expenses saved by the hotel and revenue from re-letting the room will be credited where required by law.
For the flat rates in (a) and (b), the guest may demonstrate that no amount, or a substantially lower amount, is owed.
6. Re-Letting of Rooms
The hotel is obliged, in good faith, to make reasonable efforts to re-let rooms that are not used in order to minimize losses. Until the room has been re-let, the guest remains liable for the amount calculated in accordance with Section 5.
7. Advance Payment
Upon confirmation of a reservation, the hotel may require an advance payment of 50% of the total invoice amount, but at least the amount corresponding to the first night's stay.
8. Payment Terms and Default
The price for the booked stay is calculated at the agreed rates and must be paid in advance for the entire stay on arrival (at check-in). Where the hotel has accepted a company payment guarantee, the invoice must be paid in full within 10 days of receipt.
Statutory rules apply to overdue payments. If the debtor is not a consumer, the statutory default interest rate is 9 percentage points above the base rate; the statutory EUR 40.00 late-payment lump sum may also be claimed.
9. Accepted Methods of Payment
Payments on site may be made in cash, by debit card (EC card/Maestro), MasterCard, Visa, or American Express.
Company guarantees or payment agreements must be arranged and confirmed in writing (by email) with the hotel before arrival.
10. Room Category
Guests are not entitled to a specific room assignment. Double rooms may be furnished with two separate beds instead of one double bed.
11. Arrival Time & Late Arrival (Key Box System)
* Non-Guaranteed Reservations: If the guest has not arrived by 6:00 p.m. on the agreed arrival date and has not notified the hotel, the hotel reserves the right to reassign the room.
* Guaranteed Reservations and Late Arrivals: If the booking is guaranteed by advance payment, an accepted company payment guarantee or a credit card, the room will be held for the entire night. For rooms in the main building, arrival after 8:00 p.m. with key collection from the key box is possible only by prior arrangement. Guesthouse guests must first report to the main building on arrival; guesthouse check-in is possible only between 3:00 p.m. and 8:00 p.m. The key box is not available for guesthouse rooms.
12. Check-in and Check-out
On the day of arrival, reserved rooms are available from 3:00 p.m.
On the day of departure, rooms must be vacated no later than 11:00 a.m.
If a guest culpably exceeds the check-out time, the hotel reserves the right to charge the cost of an additional night's stay.
In the event of early departure, Section 5(c) applies to unused nights. Payments already made will be settled accordingly.
13. Duty of Care & Extraordinary Termination
Guests are required to exercise particular care with all hotel furnishings and facilities.
In sanitary facilities, foreign objects (such as hygiene products, diapers, food waste, etc.) must not be disposed of via the toilet.
The wearing of heavily soiled work shoes is prohibited throughout the hotel.
In the event of serious breaches of contract or violations of the house rules, the hotel reserves the right to terminate the accommodation contract with immediate effect.
Early departure does not release the guest from payment obligations under Section 5(c).
14. Reporting Defects
Please report any defects as soon as possible so that we can remedy them. Statutory rights remain unaffected. Guests must not modify or attempt to repair the hotel’s electrical or electronic equipment without authorisation.
15. Liability for Damages
Guests are liable for all material damage, theft, or destruction of hotel furnishings and technical equipment caused by themselves or their visitors.
Hotel equipment and furnishings may not be altered, removed, or relocated without the hotel's prior consent.
16. Strict Non-Smoking Policy
Smoking is prohibited in all guest rooms, stairwells and corridors. If a breach makes special cleaning necessary, we charge a flat fee of EUR 150.00. The guest may demonstrate that no damage, or a substantially lower amount of damage, was incurred. If smoke odour makes the room unavailable for rental on the following day, the hotel may additionally claim a proven loss of revenue.
17. Binding Nature of the House Rules
The house rules, displayed in the reception area, are binding for all guests.
Intentional or serious violations may result in extraordinary termination of the accommodation contract by the hotel.
18. Data Protection
Personal data is processed to manage bookings and stays and to comply with legal obligations. Further information is available in our privacy policy.
19. Final Provisions & Individual Agreements
Should any provision of these Terms and Conditions become invalid or unenforceable, the remaining provisions shall remain unaffected. Individual agreements take precedence. We ask that amendments and additions be recorded in text form (e.g., by email) for clarity.
20. Jurisdiction & Applicable Law
German law applies. The statutory rules on jurisdiction apply to disputes.
